Why it matters

Selling is half the job. Knowing where the money went is the other half.

Ask most shop owners how the day went and they will look at the cash drawer. But the drawer only tells part of the story. Some customers paid on UPI, a regular took goods on credit, one bill was returned, and a cashier gave a discount you did not hear about. By the time you add it all up from slips and the UPI app, the day is over.

Sales management software brings these pieces together. Because every bill in BillDesk is made through the BillDesk billing software at your counter, the sales record is complete the moment a bill is saved — the amount, the items, the customer, the payment method and the person who made it. You are not copying anything into another system, so the numbers you see are the numbers that actually happened.

BillDesk Shop daily sales dashboard showing sales, received and due amounts, a weekly sales chart, UPI and cash share and cashier-wise totals
Centralized dashboard

Your whole day on one screen

Open BillDesk in the morning, at lunch or from home in the evening, and the dashboard answers the questions you usually ask your staff:

  • Today's sales and today's collections, side by side
  • Receivable — money customers owe you — and payable to suppliers
  • This month's sales trend, so a slow week is visible early
  • Top-selling products of the month
  • Low-stock items, if you track inventory

Owners can switch between branches or see all of them together. Staff only see what their role allows.

A day in the shop

How BillDesk keeps track while you run the counter

9:30 am

Opening balance

The cashier enters the opening cash once, before the first bill. The register knows what should be in the drawer from here on.

11:00 am

Bills and payments

Each sale is recorded with items, discount, GST and payment method — cash, UPI, card, split or part-paid on credit.

3:15 pm

A return comes in

The cashier makes a return against the original bill. Stock goes back, the refund or credit is recorded, and your sales figure adjusts.

5:00 pm

A regular clears dues

The customer pays old balance at the counter. You choose which bills it settles, and their account updates instantly.

9:00 pm

Closing

Count the cash, compare it with the expected amount, and close the shift. The day's reports are ready — no adding up.

Transactions, customers & payments

Every sale, every customer, every rupee

Sales transactions

Every invoice is listed with date, customer, cashier, total, paid amount and status. Filter by date, branch, cashier or payment status, open any bill to see its items and payments, and reprint or share it.

  • Returns and credit notes linked to the bill
  • Cancelled bills kept in a separate list with the reason
  • Complete history of each invoice

Customer management

Each customer has a ledger with every bill, payment and return. Credit customers, advance payments and outstanding dues are handled in the same place, and you can see a customer's previous invoices from the billing screen.

  • Credit limits and credit days
  • Statements on WhatsApp or email
  • Payment reminders for overdue bills

Payment management

Cash, UPI and card are tracked separately, including split payments on one bill. Part payments and pending amounts stay linked to the right invoice until they are fully paid.

  • Collections by payment method
  • Collections vs sales comparison
  • Cash register shifts and expected cash
Staff & roles

Give each person the right access

Not everyone in the shop needs to see everything. In BillDesk every user signs in with their own login, and their role decides what they can open. Ready roles cover the usual jobs, and you can create your own with exactly the permissions you want.

Users can be limited to particular branches, and important actions — price changes, discounts, deleted bills, stock changes — are recorded in the audit log with the user's name and time, so you always know who did what.

Typical BillDesk roles and what they usually do
RoleTypically allowed to
OwnerEverything: all branches, reports, settings, users and billing
Branch ManagerRun a branch: sales, returns, stock, purchases and that branch's reports
CashierBill at the POS, take payments, open and close their register shift
AccountantPayments, customer and supplier balances, GST and financial reports

SalespersonMake bills and quotations, credited as the salesperson on the sale

Permissions for every role can be changed in Roles & Permissions.

Sales reports

Outstanding and agingCustomer dues grouped by how old they are, so you follow up on the right accounts first.
GST and profit & lossGST sales summary for filing and a profit and loss view of the business.

Reports are part of every plan; the number of branches and users grows with the plan — see the plan comparison on the pricing page.

Multi-branch

Two shops, or ten — one view of your sales

When you open a second store or add a godown, each branch keeps its own invoice series, cash registers and stock. Staff at a branch work only with that branch. As the owner, you can look at one branch at a time or all of them together, and the Sales by branch report shows which store is doing well and which needs attention.

Moving goods between branches is recorded too, through BillDesk inventory management, so stock and sales always match per location.

Benefits

Better records lead to better decisions

Good sales management is not about fancy charts. It is about trusting your numbers enough to act on them. When you can see that Saturday sales are double a Tuesday's, you plan staff and stock for it. When the aging report shows ₹40,000 stuck with customers for more than 60 days, you start calling them this week instead of next month. When one cashier's discounts are higher than everyone else's, you notice it early.

Because the data comes straight from billing, there is nothing extra for your team to do. They bill as usual; you get the reports. And because sales are tied to products, the same records feed your stock levels, so reordering is based on what really sold.

If you are comparing tools, look at the plans on the BillDesk pricing page, or simply start a free trial of BillDesk sales management and run it alongside your current method for a week.

FAQ

Sales management software — frequently asked questions

Sales management software keeps track of everything that happens after a sale is made: what was sold, who bought it, how it was paid, what is still pending and how each day compares with the last. For a retail shop that means fewer notebooks and spreadsheets, and a clear answer to "how much did we sell, and how much did we actually receive?"

In BillDesk every bill made at the counter is recorded the moment it is saved. The dashboard shows today's sales, money received and dues, and the Invoices list can be filtered by date, branch, cashier, customer or payment status. At closing time the cash register report shows the expected cash in the drawer so you can tally it.
