Sound familiar?
Stock problems rarely start big. They grow from small gaps between what is written down and what is actually on the shelf.
"It shows 10, but I can't find any"
Sales were made without updating the register, or an item was damaged and never written off.
Running out of best-sellers
You notice the shelf is empty only when a customer asks — and they buy from the shop next door.
Too much of the slow stuff
Money is stuck in items that have not moved in months, while you are short of cash for fast movers.
Register errors
Handwritten stock books, copied totals and missing entries make month-end counting a guessing game.
Inventory management software closes those gaps by recording every movement as it happens. In BillDesk Shop, stock is not a separate job you do at night: it moves when you bill a customer, when you enter a supplier's purchase, when a return comes back and when you correct a count. The screen always shows the current quantity for each product in each branch, and every change can be traced back to the bill, purchase or adjustment behind it.
One clean list of everything you sell
Your product list is the base of everything else, so BillDesk keeps it simple to build and easy to keep tidy. Each product has its own page with all the details billing and stock need.
Fashion and footwear shops can add variants — sizes or colours of the same item — so each one has its own stock and barcode while staying grouped together.
Every movement, recorded as it happens
You never type "new stock = old stock − sold". BillDesk does it at each step and keeps the trail.
Selling and stock are two sides of the same bill — see how the counter works in BillDesk billing software.
Purchases and suppliers
When goods arrive, enter the supplier's bill in BillDesk. The stock goes up, the cost is saved for valuation and profit, and the amount is added to what you owe that supplier.
- Supplier details with GSTIN, contact and balance
- Purchase bills with quantities, cost and GST (input tax)
- Purchase orders before the goods arrive
- Purchase returns for damaged or wrong items
- Supplier payments and supplier-wise purchase history
Low-stock alerts and reordering
Set a reorder level for the items that matter — say 20 packets of a fast-selling biscuit or 5 units of a phone charger. When stock touches that level, BillDesk flags it.
- Low-stock items shown on the dashboard
- Low and out-of-stock report, branch-wise
- Plan your next purchase order from the list
- Check availability at another branch before reordering
Stock for each shop and godown, kept separately
Many retailers keep extra stock in a godown or run a second outlet. In BillDesk each location is a branch with its own stock. A branch transfer moves goods from one to another: the quantity reduces at the sending branch and increases at the receiving branch, with a transfer record you can check later.
Staff work with their own branch's stock, while the owner sees quantities across all locations. Sales from each branch reduce only that branch's stock, and branch-wise sales reports show how each location is selling.
Barcode management
Scanning removes the biggest source of billing and stock mistakes: picking the wrong item. Use the barcodes already printed on packaged goods, or print your own labels from BillDesk for loose items, garments and accessories. Labels can show the product name and price.
A USB or Bluetooth scanner works on the billing screen straight away — scan, and the item is in the cart with the right price and tax.
| Inventory report | What it tells you |
|---|---|
| Stock levels | Current quantity of every product, per branch |
| Low / out of stock | Items at or below their reorder level |
| Stock valuation | Value of stock at average cost — for planning and accounts |
| Stock movement | Every in and out for a product or period |
| Purchases & returns | What you bought and returned, by supplier and date |
| Sales by product | Fast and slow movers, so you buy the right quantities |
Why organised stock records pay for themselves
When stock figures are reliable, buying becomes a decision instead of a guess. You reorder fast movers before they run out, so customers do not leave empty-handed. You stop buying more of what is already gathering dust, which frees cash for items that actually sell. Damage and missing goods show up as adjustments instead of a mystery at year end.
It also takes pressure off you. Staff can check stock on screen instead of searching the godown, a new branch can start with a proper transfer instead of a phone call, and your accountant gets purchase and valuation reports without you re-typing anything.
Inventory and purchases are included in every BillDesk plan; the number of branches depends on the plan you choose — the pricing page lists what each plan includes. Try it with your own products during the 14-day free trial of BillDesk inventory software.
