This policy explains how long BillDesk Shop keeps the data in your shop account, how you can take a copy of it, and what happens when a subscription ends or an account is deleted. It forms part of our Terms of Service and should be read together with our Privacy Policy.
1. Your data belongs to you
- Everything you enter in BillDesk Shop — invoices, customers, suppliers, products, stock, payments, expenses and reports — is your business data.
- You are responsible for the personal data of your own customers that you store in BillDesk Shop. We store and process it only to provide the service to you.
- You are responsible for keeping your own copy (backup) of your data.
2. Exporting your data (backup)
- While your subscription is active (including the free trial), the shop owner can download a complete copy of the account at any time from Tools › Export my data. Each data set downloads as a CSV file that opens in Excel or Google Sheets.
- Invoices, receipts and statements can also be printed or saved as PDF from their own screens.
- We recommend exporting your data regularly, and always before you cancel, let your plan expire or ask us to delete your account.
3. When your subscription expires
- When a plan ends and is not renewed, the account becomes read-only: you can sign in and view your records, but you cannot create new bills.
- Data export and backups are not available on an expired account. To download your data you must first renew or buy a subscription. After renewal, export is available again immediately.
- We keep the data of an expired account for 90 days after the expiry date. During this period you can renew and continue exactly where you left off.
- After 90 days without renewal, the account and all its data may be permanently deleted. We try to email the account owner before this happens, but you should not rely on that reminder.
4. Deleting your account
- The shop owner can ask us to delete the account by writing to info@billdesk.shop from the owner's registered email address. We may confirm the request before acting on it.
- Before the deletion, export everything you need (see section 2). Once the account is deleted:
- Deleted data cannot be recovered — not by you, and not by us.
- All users of the shop lose access immediately.
- Any unused subscription period is not refunded, except as stated in our Refund Policy.
- Copies of deleted data that remain in our encrypted server backups are overwritten automatically within 30 days, and are never restored into an account.
5. New accounts that are not verified
- Every new account must verify the owner's email address with a one-time code that we email at sign-up.
- An account that is not verified within 3 days of sign-up is deleted automatically, together with anything entered in it.
6. What we keep after deletion
To meet our own legal, tax and accounting obligations, we keep the following even after an account is deleted, for as long as the law requires (for example, at least 8 years for GST records in India):
- Invoices we issued to you for your BillDesk Shop subscription, and the related payment records.
- A minimal record that the account existed and when it was deleted, and security and audit logs needed to prevent fraud or abuse.
We never use this retained information to restore your shop data.
7. Suspended accounts
If an account is suspended for non-payment, misuse or a breach of our Terms, nobody can sign in and data export is not available until the suspension is lifted. The retention periods above still apply.
